Overview
As a Project Coordinator, you will serve as the essential link between our creative, strategic, and production teams. Reporting directly to the Program Manager, you will be responsible for the day-to-day administrative and operational momentum of our marketing initiatives.
This is a junior-level consulting role designed for a highly organized professional who thrives in a fast-paced environment who is eager to work and learn. You are the “backstop” of the team—ensuring no task is forgotten, no deadline is missed, and every stakeholder is aligned.
Responsibilities
- Support project intake and queue management through active monitoring of tasks and dashboards. Keep a vigilant eye on incoming marketing requests and central dashboards to ensure new work is identified immediately.
- This role will work with the Lead Program Manager to ensure work is picked up in a timely manner and assigned to the correct delivery tracks and coordinated with assigned Project Managers.
- Monitor and troubleshoot the movement of all assigned tasks through our internal workflows, from initial kickoff to final approval.
- Use Workfront and Workfront Planning tools to plan, assign and track work.
- Proactively check in with creative and production resources to ensure they have the briefs, assets, and information required to move their work forward.
- Follow up consistently with internal stakeholders to secure timely reviews and approvals, preventing bottlenecks and ensuring deadlines are met.
- Facilitate communication between cross-functional teams to keep projects synchronized.
- Execute monthly billing tasks as assigned to track media, production, and vendor expenses. Ensure all costs are accurately coded to the correct cost centers and remain within the approved project budgets.
- Work on special projects within Marketing Operations related to facilities, special meetings, and general support as assigned.
